Creating and Managing Tasks

Create and manage tasks manually or automatically, using templates, calendar view, and automation tools.

With Minut, you can assign and track tasks across your properties to streamline operations and ensure nothing falls through the cracks. Whether it’s a post-checkout cleaning, scheduled maintenance, or anything in between, Tasks help you stay organized and keep your team aligned.


Minut Tasks is currently only available to Beta access customers. If you want to try Minut Tasks for free, for a limited time, you can sign up to the program in the Minut apps. Note that you need an active Minut subscription


What are Tasks?

Tasks in Minut are simple action items you can assign to yourself or your team. They’re linked to specific properties or units and can include cleaning duties, maintenance jobs, or other requests.

Each task contains a:

  • Task type (e.g. Cleaning, Maintenance, Other)

  • Title and description

  • Unit

  • Due date and time

  • Assigned person

You can view and manage all active tasks in one place, helping you and your team stay coordinated.



Why Use Tasks?

Using Tasks can help you:

  • Streamline operations: Keep track of what needs to be done and when

  • Reduce miscommunication: Assign tasks to the right people with all the context included

  • Improve turnaround time: Ensure your properties are ready between guest stays

Tasks are especially useful for recurring responsibilities, like restocking supplies, inspecting sensors, or coordinating cleanings after checkout.


Where to Find Tasks

To get started, open the Minut app and select Tasks in the bottom navigation bar.
On the Webapp, you can find Tasks in the Left navigation bar.


How to Create a Task

1. Tap the + Button

From the Tasks tab, tap the plus (+) icon in the top right corner to start creating a new task.



2. Select a Task Type

Choose the type of task you want to create. You can choose from:

  • Maintenance – For repairs, inspections, or technical issues

  • Cleaning – For check-out cleans, deep cleans, or touch-ups

  • Other – For anything outside the standard categories

3. Fill in the Task Details

Complete the form with the necessary information:

  • Title – A short description (e.g. Replace smoke detector – Hallway)

  • Description – Optional notes to provide context

  • Due Date and Time – When the task should be completed

  • Assign To – Select the team member or contact

  • Unit - Pick the property that the task is for

When you’re ready, tap Create task at the bottom of the screen.



Managing Tasks

Once created, tasks will appear in the task list.

From here, you can:

  • View assigned and unassigned tasks

  • Edit details or reassign tasks

  • Mark tasks as complete

This helps ensure every responsibility is tracked and completed on time, improving coordination and operational efficiency.


The Calendar View

What is the calendar view?

The Calendar View gives you a visual way to manage and plan upcoming tasks across all your properties. Instead of reviewing tasks in a list, you can see them organized by day and unit, helping you understand workload at a glance.

This view is especially helpful for operational teams who manage multiple turnovers, cleanings, or maintenance jobs across different locations.


Using Calendar View can help you:

  • Quickly assess daily workload across your portfolio

  • Coordinate cleanings between guest stays more effectively

  • Plan ahead by visually reviewing upcoming work

It’s a great option for property managers and teams who want a clear, real-time overview of what’s coming up.


What You’ll See

The calendar displays a Weekly, Monthly Or Yearly view of your scheduled tasks by Unit. You can:

  • Navigate between weeks using the arrows

  • Use the Week dropdown to switch between Week, Month, and Year

  • See tasks spread across each day for easier planning

Each task appears as a block on the calendar.


Templates


Templates

Templates help you save time and maintain consistency when creating tasks that happen regularly, like check-out cleans, inspections, or charging your Minut units.

Instead of filling out the same information each time, you can create a template once and reuse it whenever you need to schedule that task again.


What Are Templates?

Templates are task formats that include:

  • Task Name

  • Task type (e.g. Cleaning, Maintenance)

  • Title and optional description

Once saved, a template can be used to create any new task with just a few clicks.

In the web app, you can find your saved templates under the Templates tab in the Tasks section.

In the Mobile ap, you can find your saved templates under Settings > Tasks > Templates.


How to Use a Created Template

  1. Go to the List view tab

  2. Click Create a new task

  3. Click Templates

  4. Select your template

You can also create a new template by clicking Create a template in the Template view, then filling in the task details you want to reuse.


Automations


What Are Automations?

Automations allow Minut to create tasks for you automatically when specific conditions are met. Instead of manually creating a task when something goes wrong, Minut can trigger it for you, based on sensor data or stay activity.

This helps ensure nothing is missed and reduces the manual work involved in staying on top of property operations.

Automations use rules to create tasks when certain events happen at your property. These tasks are linked to templates you’ve already set up.

Each automation includes:

  • A trigger (e.g. low battery, unmonitored unit, guest check-out)

  • A linked task template

  • On/off toggle

In the web app, you can find your saved Automations under the Automations tab in the Tasks section.

In the Mobile app, you can find your saved Automations under Settings > Tasks > Automation.


Examples of Automation

  • Low battery
    Creates a task when a sensor’s battery is low. The task is automatically completed when a charged sensor is placed back on the mounting plate.

  • Unmonitored unit
    Create a task when a unit has been unmonitored for at least 48 hours. The task will be autocompleted when it comes back online.

  • Check-out clean
    Schedule a cleaning task with a start date 30 minutes after a stay ends and due by 3 PM on the same day.


How to Set Up or Edit an Automation

  1. Go to the Automations tab

  2. Use the toggle to turn each automation on or off

  3. Click Manage to edit the linked template or behaviour

Automations work best when paired with clear, reusable templates, so be sure to create those first.
